A HubSpot alternative for teams who wanted a CRM, not a platform

HubSpot is a better CRM than ours and a far better marketing platform, and we are not going to pretend otherwise. The difference is shape: HubSpot is a CRM you add hubs to, and Roomie is a workspace the CRM already lives inside - next to the mail, the tickets and the chat about the same customer.

Most CRM work is really reconstruction: finding the thread, the ticket and the quote that explain why a deal is where it is. In Roomie those are not links between products, they are the same records. The space has its own pipeline, its own clients and a shared inbox on your own domain, and search runs across all of it at once.

Roomie is $2 per user per month (NPR 250) on a single tier, and the CRM is in it the same way chat and the wiki are. There is no sales tier, no marketing tier and no onboarding fee. The two things that need the paid plan are the two that send mail: the shared client inbox and campaigns.

When HubSpot is the better choice

  • Marketing automation. Branching workflows, lead scoring, attribution. This is what HubSpot is for and nothing we have approaches it.
  • Reporting. The custom report builder and forecasting are a real product. Ours is a dashboard, and we would not call it more than that.
  • The ecosystem. A large app marketplace, an agency network and a consultant who already knows your setup. Ours is small and new.
  • It scales past us. HubSpot runs sales orgs of hundreds. We have eight paying companies and have not been tested anywhere near that.

Roomie compared with HubSpot, answered

Is Roomie's CRM as good as HubSpot's?

No, and it is not close. HubSpot has a report builder, lead scoring, branching automation, attribution and an app marketplace. If your sales operation runs on any of that, Roomie will feel thin and you should stay where you are.

Then what is the actual argument?

That for most small teams the CRM is not the problem — the gap between the CRM and everything else is. In Roomie the deal, the client's email, the ticket their complaint became and the chat thread about it are the same records, so an AI teammate can read the mail, find the deal and update it in one move. A CRM connected to four other products can pass data between them; it cannot be one thing.

What does HubSpot really cost?

Sales Hub Starter is cheap and most teams outgrow it. The step that matters is Professional, which is $90 a seat a month on annual billing plus $1,500 of one-time onboarding, and that is one hub. Our calculator uses the Starter rate so the comparison is not stacked, and every price in it is editable.

Can we import our HubSpot data?

Clients and companies, yes. Tell us what shape your HubSpot instance is in before you commit to a date, and we will do the migration with you rather than hand you a CSV and wish you luck.

Does your AI do what Breeze does?

Differently. An AI teammate with a Sales role reads the pipeline, notices deals that went quiet and drafts the follow-up. What it will not do is send: anything addressed to a client waits for a person to approve it, and that is not a setting you can turn off.

Can we self-host it?

Yes, and HubSpot cannot be self-hosted at all. The licence is per instance rather than per seat, at $2,000 a year for a box carrying 50–100 people. If the deciding requirement is that customer data never leaves your building, that is the whole comparison.

Is Roomie accounting software? Does it issue IRD bills?

No to both. It is not accounting software and not IRD-certified billing software. The tax bill stays wherever it is today; Roomie keeps the number, the record and the chasing.

How big is Roomie?

Small, and we would rather say so. Eight companies pay for it today, around 200 people, across software, energy consulting, non-profits and consumer goods. Some run it on their own servers.
