A Notion alternative that arrives as a system, not a blank page

Notion is a better document tool than ours and we are not going to argue about it. The difference is that Notion is a canvas you build your system on, and Roomie is the system already built - with the mail, the tickets and the support desk that a Notion workspace still has to point somewhere else for.

The short answer

Choose Notion if documents are your main artefact, if you enjoy designing your own databases and templates, or if your team has already built something in it that works. Choose Roomie if you keep bolting tools around Notion to cover mail and support, if you would rather configure than construct, or if you want an AI teammate that can act across the work instead of writing about it.

Side by side

Where the two actually differ

Structural differences rather than feature checklists, because a feature list between a mature product and a young one is not a useful document.

Roomie
Notion
What it is
A working system: wiki, tickets, mail, chat, CRM, support and invoices, already wired together.
A canvas. You build the system you want out of pages and databases.
Setup
Opinionated. Boards, sprints and a support desk exist on day one.
Whatever you make it, which is the appeal and the work.
Email on your domain
Included. Unlimited mailboxes, with guided DNS setup.
Not an email host. Notion Mail is a separate product.
Customer support
An embeddable live chat widget and a shared ticket inbox.
Not a helpdesk. Teams connect a separate tool.
Documents
A solid wiki with spaces, pages and live co-editing.
Better. Deeper blocks, databases, templates and relations.
Price
$2 per user per month (NPR 250). One tier, everything included.
Per user per month, tiered, with AI priced on top.
Self-hosting
Yes. $2,000 per instance per year, carrying 50–100 people.
No. Cloud only.

Notion details checked October 2026. Their pricing and packaging change, so check their site for current figures before deciding on cost alone.

Already built

The parts a canvas cannot be

Notion is not a mail host and not a helpdesk, so the usual Notion team is really Notion plus a mail provider plus a support tool plus a chat app. In Roomie those are not integrations, they are the same product, which is why a customer's email, the ticket it became and the wiki page about it can be searched in one go.

  • Unlimited mailboxes on your own domain, with guided DNS setup
  • An embeddable support widget and a shared ticket inbox
  • Boards, sprints and releases that exist on day one
AI that can act

An agent that does the follow-up, not just the writing

Most AI in a document tool helps you write. An AI teammate in Roomie reads the mail you give it, finds the ticket, updates the board, writes a note on the deal and books the meeting, then asks you before anything leaves the company. You set the scope and the permissions one at a time.

  • Roles for project management, sales, marketing and assistance
  • Every permission is Off, Ask first, or On
  • Five things no teammate can ever do, including sending email
Your servers

The option Notion does not offer

Notion is cloud only. Roomie can be installed on your own infrastructure, against your own database, pointed at your own model, licensed per instance rather than per seat at $2,000 a year. For teams under data residency rules, this is usually the whole decision.

  • Your database and object storage, backed up and audited by you
  • Capacity added by running more nodes, never by per-seat licences
  • Installation, environment setup and monitoring from us

Being fair about it

When Notion is the better choice

  • The editor and the databases. Blocks, relations, rollups, templates. Nothing we have comes close and nothing we plan to build will.
  • Flexibility. If your process is unusual, Notion will bend to it. We have opinions, and opinions are a constraint.
  • The template ecosystem. Whatever you want to build, someone has published a version of it.
  • It is already working for you. If your Notion setup does the job, switching costs you a working system to gain a tidier invoice. That is rarely a good trade on its own.

Questions

Roomie compared with Notion, answered

Is Roomie's wiki as good as Notion?

No. Notion's editor, databases, relations and templates are better than ours and it is not close. If your team's main artefact is documents, Notion is the right tool and we would tell you so.

What is the actual difference then?

Notion is a canvas you build a system on. Roomie arrives as the system. The tickets, the shared inbox, the mail on your own domain and the customer support widget are already there and already connected, so you spend your first week using it rather than designing it.

We run everything in Notion databases. Why change?

Usually because the things Notion cannot be still have to live somewhere. It is not a mail host and not a helpdesk, so most teams end up with Notion plus a mail provider plus a support tool plus a chat app. Roomie is the bet that one system beats four connected ones, mainly so an AI can act across all of it.

Can an AI work across it?

That is the point of the design. AI teammates read mail, tickets, chat, CRM and the wiki because those share one data model, and you set what each teammate may see and do. Five things stay with a person no matter how you configure it, including sending email.

Can we self-host?

Yes, and Notion cannot be self-hosted at all. The licence is per instance rather than per seat, at $2,000 a year for a box carrying 50–100 people. If the deciding requirement is that data never leaves your building, that is the whole comparison.

How big is Roomie?

Small, and we would rather say so. Eight companies pay for it today, around 200 people, across software, energy consulting, non-profits and consumer goods. Some run it on their own servers.
