A suite is a set of products that talk to each other. A system is one product. The difference stops being philosophical the first time you want a customer's email, the ticket it opened and the task it became to be the same thing — in Roomie they already are, because they were never stored apart.

The option Zoho does not offer

Zoho's suite is cloud-hosted. Roomie can be installed on your own infrastructure, against your own database, pointed at your own model, on your own domain — licensed per instance rather than per seat, at $2,000 a year for a box carrying 50–100 people. For a bank, a government department or a security company, this is usually the entire decision.

Being fair about it

When Zoho is the better choice

  • You need the back office. CRM, accounting, HR, inventory, marketing automation — Roomie does not do any of it and has no plans to pretend otherwise.
  • You need a deep ecosystem. Zoho has a large marketplace and a partner network in most countries. Ours is small and new.
  • Vendor longevity is the requirement. Zoho has been building software since 1996 and is profitable and independent. We are six months old. If your procurement process has a minimum-years-in-business line, we will not clear it, and that is a reasonable rule for you to have.
  • You already run happily on Zoho Desk alone. Swapping one helpdesk for another buys you little. The case for moving is collapsing several tools into one, not replacing like with like.

Is Roomie a drop-in replacement for Zoho One?

No, and you should be suspicious of anyone who says otherwise. Zoho One spans CRM, accounting, HR, inventory and marketing; Roomie does none of those. If Zoho One is running your whole company, Roomie replaces the part of it your team lives in day to day — email, tickets, tasks, chat and customer support — and not the back office.

What does Roomie actually do better?

One thing, and it follows from being one system rather than forty apps: work that crosses modules needs no integration. A customer's email, the ticket it opened and the task it became are the same records, so an AI agent connected to Roomie can act across all of them in one move. In a suite of separate applications, that behaviour is only ever as good as the integration between the two apps in question.

Is Roomie cheaper than Zoho?

Yes, substantially. Roomie is $2 per user per month (NPR 250) on a single tier with no feature gates above it. Self-hosted is licensed per instance rather than per seat, at $2,000 a year for a box carrying 50–100 people, which means the per-person cost keeps falling as you grow. But price is the least interesting reason to switch, and if it is your only reason we are probably the wrong call.

Can I run Roomie on my own servers? Can I run Zoho?

Roomie, yes — that is the self-hosted licence, and it is why security-conscious and data-residency-bound teams choose us. Zoho's suite is cloud-hosted. If the deciding requirement is that data never leaves your building, that difference is the whole comparison.

We already use Zoho Desk. Is moving worth it?

Only if you also want the email, tasks and chat around it in the same system. Zoho Desk on its own is a capable helpdesk from a company that has been building software for nearly thirty years. Swapping it for a six-month-old product to get the same helpdesk would be a bad trade; swapping it to collapse four tools into one, at a fraction of the cost, is the trade actually on offer.

How big is Roomie?

Small, and we would rather say so. Six months old, eight paying customers, around two hundred paying users. One of them is a global FMCG brand's Thailand business running its customer support on Roomie — roughly sixteen thousand customer sessions a week, five months in. That is the honest scale: proven under real load, early as a company.
